Rental Policies

Thank you for choosing Sandcastle Realty, Inc. for your vacation rental. We appreciate your business!

By receiving this document you agree to the terms within. All reservations require an initial payment.

Payment Policy:

  • A 25% payment is due upon booking. For larger rental properties an additional security deposit will be collected.
  • Security deposits will be refunded 10 to 14 business days after departure if no damage, abuse or excessive cleaning is found/needed.
  • Payments may be paid either by Visa, Mastercard, or Discover. No personal checks unless received 90 days prior to arrival.
    • Please inquire directly for a bank draft/ wire transfer if needed.
  • All final payments must be paid 30 days in advance of your arrival date, payments will be automatically processed on the credit card held on file from initial booking.
    • If the final payment transaction fails, we’ll contact you via email and phone for updated payment details. If payment isn’t received within 7 business days, your reservation will be canceled without refund.

Check-In: 2pm

  • 2pm or thereafter; All homes will have a 4pm check-in.
  • Check-in instructions will be emailed 2 – 3 days prior to the start of reservation. Please check your spam/junk email as instructions can get pushed there.
  • With our high standards for cleanliness, some rentals may not be ready by 2pm especially during peak season (Jan – April). We appreciate your patience as our cleaners prepare your rental.

Check-Out: 10am

  • Late check-out inquiries must be made 24 hours in advance.
  • All keys must be returned to the Sandcastle Realty office for next guest arrival. Lost or unreturned keys will incur a $100 charge for replacement.
  • Units requiring parking hang tags must be returned to unit upon departure to avoid a $150 replacement fee.
  • If excessive wear and tear is found on the property or additional cleaning is necessary due to spills, trash left onsite, unclean dishes, stains to furniture/carpeting, linens, excessive amount of sand/debris- guest authorizes Sandcastle Realty to bill guest for the full amount of cleaning fess, replacement cost or repair.
  • At departure, remove all trash, pile dirty towels and linens, turn lights off and do a final sweep for personal items.

Cancellations:

  • All cancellations are charged a $100 cancellation fee.
  • Reservations canceled with 30 days notice or more will receive a refund of initial payment less the cancellation fee.
  • Reservations canceled with less than 30 days notice to start of reservation will receive no refund from Sandcastle Realty, Inc.
  • If stay has commenced, there will be no refunds for unused portion of stay.

Travel Insurance:

  • For protection of your prepaid rental fees due to unpredictable circumstances, we highly recommend purchasing Travel Insurance to protect your vacation. Refunds may only be obtained through purchased Travel Insurance; in accordance with the insurance policy. Sandcastle Realty, Inc. does not provide travel insurance and recommends guests to purchase from a 3rd party provider.

Catastrophic Events & Emergency Evacuations:

  • If a catastrophe (hurricane, tornado, earthquake, flood, fire, etc.) or any situation beyond our control impairs the vacation rental, Sandcastle Realty is not responsible for finding alternate lodging for the renter or for the renter’s financial losses related to transportation or alternate lodging. Therefore, we suggest you consider Travel Protection Insurance to secure your vacation investment and eliminate your financial risk.

Damages:

  • Any damages found by the guest must be reported within 24 hours of standard check-in time. If damages are not reported within this timeframe, guest will not be reimbursed, refunded or discounted of any fees.
  • Credit card information will be held for damages, excessive cleaning, excessive energy bill (over $300) and missing items including keys, parking hang tags, linens, and towels.
  • Please notify Sandcastle Realty immediately to any damages/repairs to avoid extra charges.

Rules:

  • By receiving this form, you agree to abide by the rules of the rental, complex, and/or community and agree to be responsible for paying all rental charges.
  • One member of the rental party must be at least 25 years of age and remain as a renter during the entire rental period. Otherwise, you may be asked to leave and forfeit the remaining time of reservation with no refund.
  • Groups must abide by maximum number of guests permitted per unit, if any group exceeds overnight guests occupancy without prior permission from Sandcastle Realty, the reservation will be canceled immediately with no refunds.
  • Our accommodations are not suitable for large parties, weddings or birthday celebrations.
  • Most rentals are in residential communities, please be mindful of noise and of pool rules. If the police, owner or Sandcastle Realty is called due to the Renters disturbing the peace, we do reserve the right to terminate the rental agreement with no refunds.
  • Many of our rentals are not pet-friendly. Please inquire prior to renting on the pet policy of rental. If there is evidence of a pet, without written approval from Sandcastle Realty Inc. Guest will be responsible for additional cleaning cost of rental/furniture as well as a non-refundable pet fee.
  • All rentals are non-smoking; evidence of smoking will cost the renter up to $500.

Cleaning:

  • All rentals are cleaned prior to arrival and upon departure. We do not provide daily maid service; however for an additional fee, Sandcastle can arrange for additional cleaning services.
  • Any cleaning issues found by the guest must be reported upon the day of arrival. If issues are not reported within this timeframe, guests will not be refunded.
  • Property is provided as is, and we are not responsible for the inoperability or unavailability of any amenities. You agree to contact Sandcastle, using the contact information provided in your confirmation email, as soon as you notice any maintenance or housekeeping problem, or any potentially hazardous condition, at the Property. You further agree to give Sandcastle a reasonable amount of time to respond to your report and to cooperate with Sandcastle’s efforts to address the concern or provide a remedy. We will take reasonable and appropriate steps to remedy any reported problem as soon as practicable. Declining these efforts does not entitle you to a refund, nor will one be offered, unless otherwise stated. You acknowledge that if the Property has access to amenities that are shared with other properties, such as a shared pool, hot tub, parking lot, or fitness center, that the availability and condition of those amenities is outside Sandcastle’s control.

Supplies:

  • Each rental will be provided a starter set of; coffee, toilet paper, roll of paper towels, hand soap, and a trash bag.
    • Please note, we are not a hotel and these items will not be replaced during your stay. It is the renters responsibility to purchase these items should more be needed.
  • Linens, towels and beach towels will be provided.

Substitution of Accommodations:

  • Circumstances may cause your confirmed rental to be unavailable. We reserve the right to substitute comparable accommodations. We cannot guarantee the confirmed rate in these circumstances, however accommodations and rates will be subject to your approval.

Failure of Equipment / Condition:

  • In the event of failure of equipment to work, please notify Sandcastle Realty Inc. immediately so repairs/maintenance can be made. Every effort will be made by Sandcastle Realty Inc./agents to resolve issues in a timely manner and may require approved third-party vendors to resolve failure/maintenance issues.
  • Maintenance/repair of the unit may occur during your stay. In this case, our service department might require access to the unit, with or without formal notice.
  • There will be no refunds or rebates given to Renter as a result of unfortunate circumstances outside of unit owner and Sandcastle Realty control for unfavorable weather, acts of God, disruption of utility services, malfunction or breakdown of appliances, or other equipment such as TVs.
  • Homes with heated pools will only be heated if average temperatures are above 68.
  • Renter waives and relinquishes any rights or claims against unit owner or Sandcastle Realty Inc. for any damage that may result to renter from lack of maintenance, cleanliness, repair, defect including owners or Sandcastle Realty Inc. for ordinary negligence.

Furnishings:

  • Our accommodations have standard furnishings requirements, Sandcastle Realty Inc. shall not be responsible for providing any additional requested furnishings or equipment not previously agreed to on the reservation listing. Some rental properties require routine maintenance such as pool, pest control, renter agrees to services being rendered while during their stay.

Construction:

  • In the event of neighboring or present construction/renovations, Sandcastle Realty Inc. shall not be held responsible for any type of advance notification to incoming guests, as we do not receive any type of notification of new or ongoing constructions/renovation projects. There will be no refunds issued due to these outside circumstances beyond Sandcastle Realty control.

Liability:

  • Sandcastle Realty Inc. shall not be held liable to guests or to any party for any damages to property or for the injury to persons on the premises from any cause whatsoever, including defects to the premises or otherwise; guests shall indemnify and hold harmless Sandcastle Realty Inc. from any and against all liabilities, claims, expense, fees, loss of use of actions of any kind arising out of renters or their guests on the premises. Sandcastle Realty Inc. is not responsible for accidents, injury or loss of personal belongings of any kind.

Tax Law Changes:

  • In the event of any tax law changes, the guest is responsible to pay the monetary differences that might occur. These changes can affect reservations already paid in full and the guest is responsible to pay the additional fees shall it occur.
